System Settings in VinAR-ERP

System Settings in VinAR-ERP provide a centralized control panel for configuring global preferences, security parameters, and operational standards. These settings ensure a seamless, secure, and optimized user experience by allowing businesses to localize formats, manage permissions, and customize login methods.

To access System Settings, navigate to:

1. Key Sections in System Settings

1.1 General

📌 Country – Set the default country for your organization. This value is automatically fetched when creating new addresses. If your company operates in multiple countries, use the head office location.

📌 Time Zone – Automatically adjusts time settings based on the selected time zone.

📌 Language – Defines the global language for VinAR-ERP, ensuring a localized experience across menus, transactions, and master data.

📌 Disable Document Sharing – Prevents users (except Administrators) from sharing documents, ensuring strict access control. Users can see who has access but cannot modify sharing settings.

📌 Enable Onboarding – Provides an interactive onboarding experience for new users, guiding them through the system's features and setup process.

1.2 Date & Number Format

📌 Date Format – Configure how dates appear across the system (e.g., dd.mm.yyyy or mm/dd/yyyy).

📌 Time Format – Choose whether to display seconds (HH:mm:ss) or exclude them (HH:mm).

📌 Number Format – Define how numbers are formatted (e.g., 1,000 or 1000.00).

📌 Float Precision – Set the number of decimal places displayed for quantities (default: 3, range: 2-9).

📌 Currency Precision – Define decimal places for currency values. If left blank, it follows the Number Format settings.

📌 First Day of the Week – Customize the start of the week (e.g., Monday or Sunday) for dynamic filters in reports and calendars.

📌 Rounding Method – Choose a rounding approach:

• Banker's Rounding – Rounds 0.5 to the nearest even number.
• Commercial Rounding – Rounds 0.5 up (e.g., 1.5 → 2.0 and -1.5 → -2.0).

1.3 Permissions

📌 Apply Strict User Permissions – Restricts users from viewing documents where linked fields (e.g., Territory, Department) are blank, ensuring granular access control.

📌 Allow Older Web View Links (Insecure) – Enables legacy web links (v13 and earlier) without expiry, though this is not recommended due to security risks.

1.4 Session Management

📌 Session Expiry – Set the idle time (in hours) before users are automatically logged out for security purposes.

📌 Document Share Key Expiry – Define the number of days before document web links expire when sent via email.

📌 Allow Only One Session Per User – Restrict users to a single active session at a time. Mobile sessions are excluded.

📌 Disable Username/Password Login – Requires setting up Social Login Key before disabling traditional login methods.

1.5 Login Methods

📌 Allow Login Using Mobile Number – Enables users to log in with a registered mobile number.

📌 Allow Login Using Username – Allows login via the username instead of email.

📌 Login with Email Link – Users receive a passwordless login link via email.

📌 Email Link Expiry – Sets the validity period for login links (in minutes).

1.6 Brute Force Security

📌 Allow Consecutive Login Attempts – Limits the number of failed login attempts before temporarily locking an account.

📌 Allow Login After Fail – Defines the cooldown period (in seconds) before retrying after failed login attempts.

1.7 Two-Factor Authentication (2FA)

📌 Enable Two-Factor Authentication – Enhances security by requiring an additional verification step.

📌 Bypass 2FA for Restricted IPs – Exempts users logging in from whitelisted IPs from 2FA.

📌 Bypass Restricted IP Check If 2FA Enabled – Allows all users to log in with 2FA, even if their IP is restricted.

📌 Authentication Methods – Choose between OTP apps, SMS, or email verification.

📌 OTP Issuer Name – Identifies the entity providing OTP authentication.

1.8 Password Management

📌 Logout All Sessions on Password Reset – Forces logout from all active sessions when a user resets their password.

📌 Force User to Reset Password – Define the number of days after which a password reset is mandatory (0 = No Limit).

📌 Enable Password Policy – Enforces password strength requirements.

📌 Minimum Password Score – Define password complexity levels:

• 2 = Medium
• 3 = Strong
• 4 = Very Strong

📌 Reset Password Link Expiry – Set the expiration duration for password reset links (Default: 20 minutes).

📌 Password Reset Link Generation Limit – Limit the number of reset password requests per hour (Default: 3).

1.9 Email Configuration

📌 Email Footer Address – Customize the organization’s details for outgoing emails.

📌 Disable Standard Email Footer – Removes default footers from emails.

📌 Hide Footer in Auto-Email Reports – Excludes footers from automated reports.

📌 Include Web View Link in Email – Adds a document web view link in outgoing emails.

📌 Welcome Email & Reset Password Templates – Set predefined email templates for new users and password resets.

📌 Email Retry Limit – Specify how many times the system retries sending failed emails.

1.10 File Management

📌 Max File Size (MB) – Set the maximum file upload size (Default: 25MB).

📌 Allow Guests to Upload Files – Enables file uploads from users without login access.

📌 Force Web Capture Mode for Uploads – Mandates web-based image capture for file uploads.

📌 Remove EXIF Tags from Images – Strips metadata from images to enhance privacy.

📌 Allowed File Extensions – Define permitted file types for uploads. If left blank, all file types are allowed.

1.11 System Updates

📌 Disable System Update Notifications – Turns off version update alerts.

📌 Disable Change Log Notification – Prevents change log notifications from appearing.

1.12 Backups & Data Security

📌 Number of Backups – Controls the retention period for database backups (Default: 3 backups over 24 hours).

📌 Encrypt Backups – Ensures that backup files are securely encrypted before storage.

📌 Download File Backups – Allows manual downloading of file backups for safekeeping.

1.13 Advanced Settings

📌 Max Auto Email Reports per User – Limits the number of scheduled reports a user can generate.

📌 Run Jobs Only Daily if Inactive for (Days) – Restricts scheduled jobs to once per day for inactive sites (Default: 4 days).

📌 Show Full Error & Allow Issue Reporting – Displays complete error details and allows users to report issues to developers.

📌 Allow Sending Usage Data – Shares anonymized usage data to improve VinAR-ERP based on user interactions.
