📥 Easy Data Import in VinAR-ERP
The Data Import Tool in VinAR-ERP allows you to quickly upload or update records in bulk using CSV or Excel files. Whether you need to add new customers, update inventory, or import sales data, this tool makes it simple and efficient.
📌 How to Import Data
1️⃣ Adding New Records
Let’s say you want to import a list of customers from an old system into VinAR-ERP.
Step 1: Download the Template
🔹 Go to Customer List > Click Menu > Select Import
🔹 Click New > Choose Insert New Records > Click Save
🔹 Click Download Template
🔹 Select the required fields and download as CSV or Excel
Step 2: Fill in the Data
🔹 Open the downloaded file in Excel or Google Sheets
🔹 Enter customer details under the column headings
🔹 Do not edit or remove column headers
🔹 Save the file in CSV or Excel format
Step 3: Upload & Import
🔹 Go to Data Import > Attach the file
🔹 Click Upload > Click Start Import
🔹 If there are errors, they will be shown—fix them and re-import
✔ Once imported, each row in your file becomes a new customer record!
2️⃣ Updating Existing Records
If you need to update customer details in bulk, follow these steps:
Step 1: Download Existing Data
🔹 Go to Customer List > Click Menu > Select Import
🔹 Click New > Choose Update Existing Records
🔹 Select the required fields and download the template
Step 2: Modify the Data
🔹 Open the downloaded template in Excel or Google Sheets
🔹 Do not change or delete the ID column (This identifies existing records)
🔹 Update other fields as needed and save the file
Step 3: Upload & Import
🔹 Follow the same import steps as in "Adding New Records"
✔ The system will update existing records without creating duplicates.
3️⃣ Importing Child Records
Some documents in VinAR-ERP contain child records, such as:
- A Sales Order with multiple items
- A Customer with multiple contact details
How Child Records Are Structured:
📌 Each child entry appears in a new row but is linked to the same parent record
📌 Ensure the order remains unchanged in the file before importing
✔ The system will correctly associate child records with their parent records.
📂 Additional Import Options
🔄 Import from Google Sheets
Instead of CSV or Excel, you can import directly from Google Sheets:
🔹 Save your data in a Google Sheet
🔹 Make sure the sheet is public
🔹 Paste the URL in the import tool and start the import
📌 Submit After Import
🔹 For documents like Sales Orders, you can choose to submit them automatically after importing.
📩 Disable Email Notifications
🔹 If your system sends emails when a record is created (e.g., new lead notifications), bulk importing could trigger too many emails.
🔹 Use the "Don’t Send Emails" option to disable notifications during import.
📌 Important Notes
🔹 Upload Limit – It’s best to import a few thousand records at a time to keep the system running smoothly.
🔹 CSV Encoding – If your file contains non-English characters, save it in UTF-8 format for proper display.
