Time Tracking Overview

Effective time tracking is essential for managing projects efficiently in Nexus. With built-in task-level and subtask-level time tracking, Nexus ensures you can accurately monitor work hours, optimize productivity, and improve project planning.

Time tracking in Nexus operates at two levels:

βœ” Task-Level Tracking – Monitors total estimated and actual hours for a task.
βœ” Subtask-Level Tracking – Tracks time spent on individual subtasks, which automatically updates the main task's time records.

πŸ“Œ Task Time Tracking: Managing Time at a Higher Level

Each task in Nexus includes two key fields for tracking time:

1️⃣ Time Estimated

⏳ The amount of time you expect the task to take. This value is set manually and helps with project planning and resource allocation.

2️⃣ Time Spent

⏱️ The actual time recorded while working on the task. This helps in tracking real effort vs. estimated effort to improve future planning accuracy.

πŸ”Ή Important Notes:

  • Task time tracking is manual, meaning users must enter the estimated and spent time.
  • The total time spent on a task automatically updates based on the time logged in its subtasks.

πŸ“Œ Subtask Time Tracking: Breaking Down Work Effort

Subtasks allow you to divide a task into smaller work units, each with its own time tracking. Like tasks, subtasks also have Time Estimated and Time Spent fields.

πŸ”„ Automatic Updates Between Subtasks and Tasks

  • When you modify the time spent on a subtask, the parent task’s total time automatically updates.
  • If multiple subtasks exist within a task, the total Time Spent for the task is the sum of all subtasks.
  • Nexus records every subtask status change and updates the time accordingly.

πŸ“Œ How Time is Logged in Nexus

Every time a subtask changes status, Nexus automatically logs timestamps to keep track of work progress.

βœ” When a subtask moves from To Do β†’ In Progress:
πŸ“Œ The start time is recorded.

βœ” When a subtask moves from In Progress β†’ Done:
πŸ“Œ The end time is logged, and the system updates the total Time Spent for both the subtask and the parent task.

πŸ”Ή These logs help managers and teams analyze how long tasks take to complete, identify bottlenecks, and improve workflow efficiency.

πŸ“Œ Viewing Time Logs and Reports

All time records are stored in Nexus and can be accessed for review and analysis.

πŸ“Š Where to Find Time Logs:

  • Task View Page β†’ View a breakdown of time spent on each subtask and task.
  • Timesheet Section β†’ Provides a complete summary of logged work hours.

⏳ These insights help in tracking progress, managing workloads, and ensuring accurate billing for projects.

πŸ“Œ Using the Subtask Timer for Real-Time Tracking

Nexus features a built-in timer that allows users to track time in real-time while working on subtasks.

🎯 Key Features of the Timer

βœ” Can be started and stopped anytime, independent of the subtask’s status.
βœ” Every time the timer starts, a new record is created.
βœ” When the timer stops, the system logs the end time automatically.
βœ” Time is rounded to the nearest 15 minutes for accurate calculations.

This feature eliminates the need for manual entry, ensuring more precise time tracking.
