Managing Tasks in Nexus

Nexus provides an intuitive task management system that helps individuals and teams organize their work efficiently. Whether you're tracking a personal to-do list or managing a complex project, Nexus offers powerful tools to streamline your workflow.

📝 1. Creating a Task

Creating a new task in Nexus is quick and straightforward.

Steps to Create a Task:

  1. Go to the Board View.
  2. Click the plus (+) icon next to the column where you want to add the task.
  3. The task creation form will appear.

Key Fields in Task Creation:

Field Description
Title A short and clear task name (this is what appears on the board).
Description A detailed explanation of the task, formatted using Markdown (for lists, bold text, links, etc.).
Tags Labels that help categorize tasks (e.g., "Urgent," "Bug," "Feature").
Create Another Task Check this box to quickly add another similar task (with some fields pre-filled).
Color Choose a color code to visually differentiate tasks.
Assignee Assign the task to a specific team member.
Category Group tasks under predefined categories (available if categories are enabled for the project).
Column Define which column the task will be placed in.
Priority Set urgency levels (P0 - P3, where P0 is the highest priority).
Complexity Define effort estimation (commonly using Fibonacci series numbers in Agile).
Reference Add an external reference ID (useful for linking the task to another system).
Original Estimate Enter the estimated time (hours) required to complete the task.
Time Spent Log the actual hours worked on the task.
Start Date Specify when the task should begin.
Due Date Set a deadline (overdue tasks turn red; upcoming due dates remain black).

Tip: Click the "Preview" button to see how your Markdown-formatted description will look.

🔄 2. Duplicating and Moving Tasks

Sometimes, tasks need to be copied or moved between projects and columns.

📌 Duplicating a Task Within the Same Project

  1. Open the task view.
  2. Click "Duplicate" from the left-hand menu.
  3. A new task is created with the same details as the original.

📌 Duplicating a Task to Another Project

  1. Open the task view.
  2. Click "Duplicate to another project".
  3. Select a destination project from the drop-down menu (you must be a member of the project).
  4. Choose:
    • Swimlane (if applicable)
    • Column (where the task will go)
    • Category
    • Assignee (who will handle the task)

📌 Moving a Task to Another Project

  • Similar to duplication, but instead of creating a copy, the task is transferred to a new project.
  • You must select the new column, assignee, category, and other necessary details.

✅ What Properties Are Copied When Duplicating a Task?

✔ Title
✔ Description
✔ Due Date
✔ Color
✔ Project & Column
✔ Assignee
✔ Priority & Complexity
✔ Estimated Time
✔ Swimlane
✔ Recurrence Settings

✅ 3. Closing Tasks

Once a task is complete, closing it removes it from the active board while keeping it accessible in records.

📌 How to Close a Task

  • From the Board View: Click the task drop-down menu and select "Close Task".
  • From the Task View: Select "Close Task" from the sidebar menu.

📌 Important:

  • Incomplete subtasks are automatically marked as "Done" when the main task is closed.
  • To view closed tasks, use the search filter: status:closed or select "Closed Tasks" from the filter menu.

🔗 4. Linking Tasks

Tasks can be connected to indicate dependencies or relationships between them.

📌 Available Relationships:

  • Relates to
  • Blocks | Is Blocked By
  • Duplicates | Is Duplicated By
  • Parent | Child Relationship
  • Milestone Connections
  • Fixes | Is Fixed By

🔍 Tip: Tasks can also be linked across projects for better tracking.

📊 5. Tracking Task Transitions

Every time a task is moved between columns, Nexus records the movement for tracking.

📌 What Information is Tracked?

Date of movement
Source column → Destination column
Who moved the task
Time spent in each column

🔁 6. Recurring Tasks

Instead of being based on specific dates, recurring tasks in Nexus are triggered by actions.

📌 How Recurring Tasks Work

  • A new task automatically appears in the first column when a trigger happens.
  • Due dates can be recalculated based on days, months, or years.
  • Each task records the parent task that created it.

📌 Triggers That Create Recurring Tasks

  1. Moving a task from the first column
  2. Moving a task to the last column
  3. Closing the task

📌 How to Set Up a Recurring Task

  1. Open the task view.
  2. Click "Edit Recurrence" and configure the settings.

🖼️ 7. Adding Screenshots to Tasks

Images help clarify tasks, especially for bugs, design requests, or reports.

📌 How to Add Screenshots

  • Windows & Linux: Press CTRL + V to paste an image into the task.
  • macOS:
    • Command + Control + Shift + 3 → Capture full screen.
    • Command + Control + Shift + 4 → Select an area.
    • Command + Control + Shift + 4, then Space → Capture a window.

💡 Tip: You can paste images directly into the Board View or Task View.

🏷️ 8. Using Tags for Organization

Tags help categorize and filter tasks efficiently.

📌 How to Use Tags

  • Assign one or multiple tags when creating a task.
  • Use auto-complete to quickly select existing tags.
  • Manage global tags in Application Settings or project-specific tags in Project Settings.

📌 Searching for Tasks by Tag

Use the filter: tag:[tag-name]

📈 9. Task Analytics: Tracking Performance

Each task includes an analytics section to track performance.

📌 Key Metrics

⏳ Lead Time
  • Time between task creation and completion (when it is closed).
⏳ Cycle Time
  • Time between task start date and completion.
  • If no start date is set, Cycle Time is not calculated.
📊 Time Spent in Each Column
  • A visual chart shows how long a task stays in each column before completion.
