Roles & Role Profiles in VinAR-ERP

In SuperNovaVinAR-ERP, Roles define the level of access a user has within the system, while Role Profiles act as templates that bundle multiple roles together for efficient user management.

🔹 Understanding Roles

A Role is a predefined set of permissions that control access to different documents and modules. Permissions are configured through the Roles Permission Manager, ensuring users can only access the necessary features relevant to their responsibilities.

✅ Predefined Roles: Commonly used roles are already available in SuperNovaVinAR-ERP, allowing quick and efficient setup.
✅ Custom Roles: Additional roles can be created to fit unique business needs.

📌 Example: If a user is assigned the Sales User role, they will automatically have access to Quotations and Sales Orders, as permissions are predefined for this role.

🔹 How to Create a Role

1️⃣ Navigate to Home > Users and Permissions > Role
2️⃣ Click New and enter a Role Name
3️⃣ Choose whether the role has Desk Access (Users with Desk Access can access company modules and documents based on permissions)
4️⃣ Save the role
5️⃣ Configure additional settings:

• Enable Two-Factor Authentication for security
• Restrict the role to a specific domain (if required)
• Define permissions for different DocTypes in the Roles Permission Manager

🔹 Role Profiles: Simplifying Role Assignment

A Role Profile is a collection of multiple roles that can be assigned to a user at once, reducing manual effort. Instead of assigning multiple roles individually, a Role Profile allows batch assignment for users with similar responsibilities.

📌 Example: A Sales Supervisor may require access to multiple roles, such as:

✅ Sales Manager
✅ Sales User
✅ Sales Master Manager

By creating a Sales Supervisor Role Profile, all these roles can be assigned to a user in a single step.

2️⃣ Click New and enter a Profile Name
3️⃣ Select the Roles that should be included in this profile
