Limited User in SuperNova

Limited User has restricted access within SuperNova, allowing them to interact only with specific documents and modules assigned to them. This is ideal for employees or users who only require access to certain functionalities, reducing unnecessary system exposure while maintaining operational efficiency.

πŸ”Ή Understanding Limited User Access

Not all users in an organization require full system access. For instance, in a company with 500 employees, only 100 may need access to all modules, while the remaining 400 only require access to attendance tracking and leave applications. Limited Users ensure that employees can efficiently perform their tasks without being overwhelmed by unnecessary system components.

To manage this efficiently, User Types play a crucial role. In SuperNova, the default User Types include:

  • System User β€“ Can access both the Desk (ERP interface) and the Website Portal.
  • Website User β€“ Limited to accessing the Website Portal only.
  • Employee Self-Service (ESS) β€“ Designed specifically for employees who need access only to certain HR-related documents like attendance, leave applications, and salary slips.

πŸ”Ή Configuring Limited User Access

1️⃣ Setting Up Custom User Types

To customize user access, navigate to:
πŸ“ Users > User Type

  • Standard User Types (System User & Website User) cannot be modified or deleted.
  • Non-Standard User Types can be customized to grant limited access to specific documents and roles.
2️⃣ Defining Document-Level Permissions

For non-standard user types, administrators must define:
βœ… Custom Roles β€“ Assign only the required permissions.
βœ… Apply User Permission on β€“ Set the document type on which permissions will be enforced.
βœ… Field-Level Restrictions β€“ Users will only see documents linked to their User ID.

πŸ”Ή Example: If an Employee Self-Service User is assigned permissions on Salary Slips, they will only see slips linked to their Employee ID, ensuring data privacy.

3️⃣ Configuring Select Permissions

πŸ“Œ Controlled Access to Documents

  • Limited users can only access documents explicitly listed under their User Type settings.
  • The Role Permission Manager for Limited Users functions independently from the general Role Permission Manager.

πŸ“Œ Read-Only Access (Select Permissions Only)

  • Documents listed under "Select Permissions Only" allow viewing but prevent creation or modification.
  • There’s no limit to the number of document types that can be assigned read-only access.

πŸ”Ή Why Use Limited Users?

βœ… Enhanced Security β€“ Prevents unauthorized access to sensitive information.
βœ… Streamlined User Experience β€“ Simplifies navigation by showing only relevant modules.
βœ… Optimized System Performance β€“ Reduces unnecessary data processing and system load.
βœ… Cost-Effective User Management β€“ Assigns access based on role necessity, ensuring efficient license usage.

By strategically assigning Limited User roles in SuperNova, organizations can balance security, efficiency, and user productivity.
